OUR APPROACH
Our Approach
3D Facility Maintenance has extensive understanding of providing both programmed and ad-hoc basis cleaning in operational environments at frequencies impacted by site patronage and operational requirements. We are equipped to mitigate site issues and have an unrivalled appreciation of delivering seamless cleaning in highly populated and high-risk environments.
On the successful award and acceptance of any contract, 3D Facility Maintenance will commence the following transition actions:
1. Initial Contact
Initial contact with all stakeholders will be undertaken, with a request for all site policies, procedures and WHS documents to be supplied to 3D Facility Maintenance. In addition, the site-specific access requirements will be sought, and a suitable preliminary inspection time will be negotiated with site personnel. This will allow 3D Facility Maintenance to customise our existing quality/safety/environmental management documentation to be site specific.
2. Policy Alignment Evaluation
A policy alignment evaluation will be undertaken to ensure the respective WHS policies and checklists of 3D Facility Maintenance and our clients to ensure that they are all consistent and/or complementary. Following this process, the pre-start safety checklists used in all 3D Facility Maintenance operations under contracted requirements will be formulated. The completion of this checklist will be compulsory prior to the commencement of each shift to all 3D Facility Maintenance site personnel.
3. Site Inspections
Site Inspections will be undertaken to enable all site-specific checklists to be further developed in conjunction with a review of any key performance indicators for each site captured under the Contract. Following the site visits the preliminary daily, monthly and annual cleaning schedules will be generated and then forwarded to all relevant stakeholders for negotiation and approval prior to the commencement of any works.
4. Finalise Schedule
The Finalisation of the Cleaning Schedule including a Scope of Works Matrix and Requirement Schedule will be developed to ensure all required tasks and duties are clearly defined and transparent to all stakeholders.
5. Staff Assignment
Staff Assignment and Rostering will be undertaken by 3D Facility Maintenance with staff qualifications and experience being paramount to selection.
6. Cleaner Training
Any Pre-Commencement Training of Cleaners will be undertaken internally by 3D Facility Maintenance and will ensure all staff are suitably inducted to all relevant sites. In addition, each staff member will read and witness all required documentation before these records are saved to the 3D Facility Maintenance content management system.
7. External Reporting
All external reporting will be undertaken as per the Contract in a timely and professional manner with an emphasis on transparency and clarity.
8. Meetings
Meetings both scheduled, as per the Contract, and unscheduled as required for operational purposes will be undertaken with due notice with the supply of a preliminary agenda being made available as required
